RFP Title: Fencing and Solarization of the Honey Processing Hub Site
Location: Orpua Conservancy, Sand River Region, Maasai Mara
1. Background
KWCA and Orpua Conservancy are establishing a community-based beekeeping enterprise to support conservation-linked livelihoods and reduce pressure on wildlife resources. One of the key project investments is the development of an Integrated Honey Processing Hub, which will facilitate the aggregation, processing, packaging, and marketing of honey from three surrounding community apiaries.
To ensure the Honey Hub operates efficiently, securely, and sustainably, Orpua Conservancy and KWCA seek quotations from qualified firm for perimeter fencing and solarization of the facility.
2. Rationale for Fencing and Solarization
The Honey Hub will house high-value processing equipment, tools, and stored honey products. A perimeter fence is necessary to safeguard infrastructure from theft, vandalism, and wildlife intrusion—particularly elephants and predators common in the Sand River landscape.
The site lacks a stable electricity grid connection. Solarization will ensure a clean, dependable, and cost-effective energy supply for processing equipment, lighting, cooling, and security needs.
Both fencing and solar power systems contribute to sustainable resource use, improved operational resilience, and minimized ecological footprint.
3. Purpose of the Call
This CFQ invites qualified firms or contractors to submit quotations for:
1. Construction of a secure perimeter fence around the Honey Processing Hub compound; and
2. Supply, installation, and commissioning of a complete solar power system tailored for the Hub’s operational needs, including solarization of a 40 ft container and installation of security lighting.
Quotations must demonstrate value for money, adherence to technical standards, sustainability, and feasibility.
4. Scope of Works
4.1 Perimeter Fencing
The contractor will be required to:
- Design and construct a secure fence around approximately ½ acre of the Honey Processing Hub site.
- Use durable and environmentally appropriate fencing materials suitable for wildlife-prone areas.
- Install at least one (1) main access gate as recommended by site conditions.
- Integrate security features such as reinforced poles, barbed wire, or chain-link mesh as appropriate.
- Ensure compliance with Orpua Conservancy safety, environmental, and operational requirements.
4.2 Solar Power System Installation
The contractor will be required to:
- Supply and install a complete solar power system, including: o Solar panels
- Inverter
- Battery bank
- Charge controller
- Cabling, trunking, switches, mounting structures, and all accessories required for a fully functional system
- Solarize the 40 ft container where the Honey Hub will be housed.
- Install solar-powered security lights around the fenced compound.
- Provide a power system that meets the Honey Hub’s daily energy load requirements (equipment load sheet will be provided on request), with capacity for modest future scaling.
- Provide complete installation manuals, system diagrams, and wiring schematics.
The contractor will be expected to train designated Orpua Conservancy community members on:
- Basic operation of the solar system
- Routine maintenance procedures
- Troubleshooting and reporting mechanisms
- Training should include a short reference manual or job aids.
4.3 Completion Timelines
- All works must be completed, tested, and commissioned no later than 10 December 2025.
- Bidders must provide a workplan and delivery schedule clearly demonstrating their ability to meet this timeline.
5. Contractor Requirements
All interested bidders shall submit the following:
1. Company Profile demonstrating experience in fencing construction and solar installations.
2. Technical Proposal, including:
- Fencing design materials
- Solar system configuration and specifications
- Proposed brands/models of equipment
3. Financial Quotation, itemized by activity (Fencing and Solarization).
4. Workplan & Delivery Schedule aligned with the project timeline.
5.Compliance and Legal Documents:
- Certificate of Incorporation /Registration
- PIN/VAT Registration
- Valid Tax Compliance Certificate
- At least two (2) references from similar past assignments
6. Warranty Information
- Minimum warranty periods for solar components
- Guarantee for fencing workmanship

3. Detailed technical and financial proposal.
