Background

The Kenya Wildlife Conservancies Association (KWCA) is a national landowner led membership organization, established in 2013 to serve the collective interests of over 230 community and private conservancies. KWCA works to create an enabling environment for conservancies to thrive by advocating for the right policies, laws and incentives and supporting them through information sharing, and capacity building. KWCA recognizes that conservancies represent a strong mechanism to promote wildlife stewardship and custodianship by local communities and landowners that share land with wildlife.

 

As the conservation network continues to grow and expand its role, the organization’s functions, programmes and operating requirements have evolved. To ensure that the organizational structure remains fit for purpose, KWCA has undertaken a review and update of its structure. With that there is a need to ensure alignment with the respective job titles.

 

Objective of the assignment

KWCA is looking to engage services from a firm/agency to undertake the harmonization of  Job titles with the Organizational Structure

 

Scope of Work

  1. Inception meeting to comprehensively understand the TOR and KWCA structure
  2. Desk assessment of the KWCA Staff handbook and the Strategic Plan 2024-2030
  3. Ensure that job titles accurately reflect the scope, level and responsibilities of positions.
  4. Benchmark titles against relevant NGO, non-profit and conservation-sector practices.
  5. Ensure consistency in the use of titles and levels across the organization.
  6. Take into account staff perspectives and perceptions of the current structure.

 

Deliverables

  1. Inception Report/Workplan
  • Understanding of the assignment.
  • Proposed methodology and timeline
  1. Organizational Structure and Job Title Assessment
  • Analysis of current roles, levels and reporting lines.
  • Benchmarking of job titles against relevant NGOs
  • Identification of gaps, overlaps and inconsistencies.
  1. Staff Consultation Findings
  • Summary of key themes arising from staff interviews.
  • Key issues requiring consideration in the revised structure.
  1. Proposed Job Titles
  • Proposed job titles.
  • Reporting lines.
  1. Validation Presentation/Meeting
  • Facilitation of a validation session with management and relevant staff.
  1. Final Report
  • Incorporating feedback from the validation process.
  • Final recommended job titles.

 

Required qualifications and skills

The consultant must meet the following specifications:

  • An advanced Degree in Human Resource Management or related field
  • At least 10 years of professional experience in Human Resource with extensive experience in Talent Management, Recruitment and Selection, and Organization Development
  • Consultancy experience preferably working with NGOs
  • Registered with the Institute of Human Resource Management Kenya (IHRM(K) as a Human Resource Practitioner
  • Flexible, creative, detail-oriented and well organized
  • Ability to maintain the highest standards of confidentiality and professionalism with sound judgement
  • Strong communication and interpersonal skills.

 

Submission of Proposal

The proposal should demonstrate sound knowledge, technical skills and capacity as required by the nature of work of the assignment and understanding of the requisite tasks set forth in the scope of work.

 

Eligible individuals/companies should submit the following;

  1. Technical proposal including workplan
  2. Financial proposals
  3. Date and activity schedule
  4. CV of designated personnel
  5. Minimum of 2 recommendations from previous assignments

 

The proposals should be emailed to [email protected] indicating clearly on the email header the title of the consultancy by Wednesday October 7th 2026
