Communication Consultant to Support the Development of KWCA Annual 2023 Report and 10 years Impact Highlight Report
About KWCA
Kenya Wildlife Conservancies Association (KWCA) is a national membership organization representing over 200 conservancies in Kenya spread across 28 counties. KWCA works with conservancy landowners and landscape conservancy associations to create an enabling environment to deliver environmental and livelihood benefits to communities. KWCA’s role is to help catalyse the conservancy movement by convening, connecting, informing, and representing conservancies and other key stakeholders in a shared effort to make wildlife conservancies thrive in Kenya. KWCA recognizes conservancies as a strong mechanism to promote wildlife stewardship and custodianship by local communities and landowners sharing land with wildlife.
As the national conservancies body, KWCA works to enhance learning, information exchange, and documenting conservancy best practices and impact amongst its member conservancies, landscape conservancy associations, donors, partners, and the general public. On 23rd April 2023, KWCA celebrated its 10-year anniversary an important milestone for community conservation in Kenya.
Purpose of the consultancy
KWCA seeks the expertise of a communication consultant/firm with remarkable storytelling ability to compile, structure, narrate, design, and produce the following;
- End-of-year e-newsletter summarizing key achievements for 2023 (suitable for electronic distribution)
- The organization’s annual report for the fiscal 2023 highlights, its accomplishments challenges, and lessons learned (suitable for electronic distribution and ready for print)
- A 10-year impact (highlight) report showcasing 10 high-level achievements for KWCA over the past decade (suitable for electronic distribution and ready for print)
Under the supervision of the communication manager, the consultant will perform the following tasks;
- Produce a KWCA annual report 2023
- Work with the communication team to identify and consolidate key program achievements and create a seamless and compelling narrative
- Review background materials including annual and quarterly progress reports from 8 projects, PowerPoint presentations, videos, social media posts and any other relevant communication material that will inform the annual report and end-of-year e-newsletter (see below)
- Blend in data and ensure consistency of numbers and information presented
- Craft the report structure, and Proof-read the report to ensure high-quality production
- Ensure relevant multi-media products are featured throughout the report, with visuals and text, links to stories, and media articles on the KWCA website and social media platforms
- Contract and work with a designer to integrate infographics, quotes, charts, stories, maps, photos, etc to underscore the impact of our collective journey visually.
- Include financial information, partnerships for the year
- Write the report’s content to show achievements and impacts and highlight some sections from a community’s perspective.
- Ensure the report meets KWCA’s branding guidelines
- Review information and success stories shared by KWCA and corroborate gathered information through one-on-one discussions with beneficiaries if necessary.
- Design: Clean, simple, and easy to read, prominent headings, use of pictures and infographics, typography, and flow of text should be easy to read.
- Format: Report approximately 16 pages, A4 size, UK English, online/web versions.
- Target audience: current donors, government ministries, conservancy members, partner organizations
- Content: Warm, personal, show progress/achievements
- Produce a summarised end-of-year electronic newsletter
- Work with the communication team to consolidate all program achievements for the annual report above into a summarised version for its end-of-year newsletter.
- Work with a designer to create a visually interesting e-newsletter (integrating quotes, photos, and key data) that can be circulated via MailChimp
- Design: Clean, simple and easy to read, prominent headings, use of pictures and infographics, typography, and flow of text should be easy to read.
- Format: Mailchimp design
- Target audience: current donors, government ministries, conservancy members, partner organizations
- Content: Warm, personal, show progress/achievements
- Produce a 10-year impact summary/highlight report
- Together with the communication team, identify 10 high-level impacts KWCA has achieved in the last 10 years, highlighting them into themes or key milestones and achievements
- Review background materials based on the 10 impacts identified, and consolidate the information into high-level impacts highlighting the biggest successes for the themes.
- Identify a proposed title and theme for the report
- Add challenges and lessons learned over the 10 years for each high-level impact, where appropriate
- Contract and work closely with a graphic designer to develop ideas and produce graphics, charts, and infographics that creatively convey key messages/data into the report
- Integrate a financial report and include elements of the financials into a graph or pie chart to show the progress of our resource mobilization efforts in the last 10 years.
- Proofread the texts after they are laid out by the designer.
- Identify and gather select photos from KWCA photographic resources that depict the impact to be used in the annual report.
- Adhere to KWCA’s branding standards and style guidelines for language and presentation
- Design: Clean, design-heavy, high-impact content, easy to read, prominent headings, use of pictures and infographics, typography, and flow of text should be easy to read.
- Format: Report approximately 24 pages, A4 size, UK English, submitted in print and web versions.
- Target audience: new donors & global funders, government ministries, private sector, think tanks, international conservation and development NGOs
- Content: Strategic and high-level impact
Expected Deliverables and Timelines
- End of year e-newsletter, deadline 14th December 2023
- Annual report 2023 deadline, 15th March 2024
- 10-year impact summary report- 15th March 2024
Qualifications and experience:
- Advanced university degree in communications, journalism, creative writing, social sciences, or a related field, or a first degree with at least 10 years of work experience.
- Demonstrated experience in producing similar annual reports, impact reports and newsletters for development organizations.
- Knowledge of conservancies and community conservation in Kenya
- Excellent writing, editing, and proof-reading skills
- Experience overseeing design work, and ensuring produced documents are print ready
- Ability to translate complex information and data into a clear and concise.
Competencies
- Strong writing skills in English
- High proficiency in the use of Word and the design of computer applications
- Ensure publications are suitable for email marketing platforms such as Mailchimp
- Excellent organizational skills
- Ability to meet deadlines and work under pressure
- Strong interpersonal skills, able to communicate and work with diverse people
Duration of the consultancy and Oversight
The consultant is expected to carry out the assignment between 1st December to 15th March 2024 with breaks in between due to document review and clearance processes by KWCA. The first deliverable e-newsletter should be ready by 14th December 2023. The consultant will work directly with KWCA’s Communication Manager for direction on source content and information.
